- Both services publish an API; verify payment and refund coverage and any ready-made connector separately.
- Agree accounts, categories, locations and one source of each income record to avoid duplicate bank entries.
- Reconcile a past month, repeated delivery and recovery from an outage before going live.
To sync club software revenue to accounting, transfer confirmed payments and refunds with their original references, agreed categories and payment accounts. For LuckyFit and Finmap, first check what both accounts actually expose, agree the mapping and reconcile a past month before switching on. Both services publish an API. That does not establish a ready-made connector or confirm access to every financial event needed from LuckyFit.
The owner needs a useful answer: how much each location received, what was refunded and which payments are still awaiting settlement. Reception should continue using the club application while the finance owner investigates exceptions. This is a proposed workflow for a connection, rather than a published Artbrain delivery of a LuckyFit → Finmap integration.
What gets copied after a club closes its shift?
A membership is sold, a drop-in visit is paid for and a cancelled session is refunded. Someone then opens the finance application and enters those events again. Cash, card terminal payments and online receipts need separate treatment. Each record needs a category and location. If the owner or bookkeeper does the copying, another handover stands between the original payment and a useful financial report.
The difficult part is keeping up with changes. A refund can arrive a week after the sale. A member may pay a deposit now and the balance later. A membership can be sold at one branch and used at another. A single daily total removes these distinctions, even though they explain why reception figures, cash on hand and bank settlements differ.
Errors also hide in records that look reasonable. A bank deposit is counted as another sale, a refund is missed or every online payment is assigned to the main branch. A network total might still balance while the location reports become misleading. Start with the records that currently cause these disagreements. They make better acceptance examples than a demonstration containing only straightforward membership sales.
What do LuckyFit and Finmap officially support?
LuckyFit has an API; verify the financial coverage
LuckyFit states that it provides an open API, a programming interface for exchanging data. Its announcement lists customer operations, membership sales and membership information, and links to technical documentation. This confirms an integration route exists. It does not confirm a complete feed of actual payments, corrections and refunds with the fields your finance workflow requires.
Check those records against the specific club account before estimating the work. Ask the vendor about stable payment references, historical access and changed records. Also ask whether relevant webhooks are available. A webhook is an automatic notification of an event. We have not established a supported set for the required LuckyFit financial events, so immediate event-driven delivery remains something to verify.
Finmap offers API access and file import
Finmap documents income, expense and transfer operations, accounts, categories, projects and webhooks. It also publishes an Excel import template and an integration catalogue. We could not confirm a ready-made LuckyFit → Finmap connection in the catalogue checked. Ask both providers about its current availability and connection terms.
Check a vendor-provided route first. Ask to see a partial refund, a repeated import and location allocation alongside a normal payment. An existing connection may already satisfy the requirement. The name of a connector does not explain whether it carries every event your owner and bookkeeper need. Its actual behaviour and coverage determine whether custom work is justified.
Which records and fields should move?
Use a confirmed movement of money as the starting unit. A membership record, an expected payment and money received are different events. Put the rules in a mapping table: a written agreement showing how each source field becomes a destination field. The owner should be able to read it without knowing the software internals and identify how unusual payments will be handled.
- Source and operation reference. Keep a link to the original event and recognise another attempt to send it.
- Amount, currency and payment date. Separate cash received from the period covered by a membership.
- Payment method and account. Map cash, card terminal and online channels to agreed destinations.
- Category and location. Allocate memberships, personal training and other services consistently.
- Refunds and fees. Preserve the payment history and explain reductions in money received.
This is a requirements list for a future connection, not a verified list of LuckyFit fields. Missing information should remain an explicit exception. If fees are absent from the source, obtain them from an agreed settlement report or leave them for review. Do not assign an unknown location to the main club merely to produce a complete-looking dashboard.
Decide where corrections belong. A corrected payment method in the club system should lead to an agreed correction in finance. A bookkeeper’s manually added comment should survive the next update. Identify which fields the connection owns and which remain editable by staff. Otherwise a successful import can quietly undo the finance team’s work during its next run.
How do you avoid counting a payment twice?
Consider a hypothetical membership payment of 2,000 units. The payment provider keeps a fee of 40 and deposits 1,960 into the bank account. These are illustrative figures, not a provider’s rates. Importing 2,000 from the club application and another 1,960 as bank income would overstate the money earned from the same customer payment.
One possible model records the payment in a clearing account, shows the fee separately and treats settlement into the bank as a transfer. A clearing account is an intermediate place for funds awaiting settlement. Agree the model with the person responsible for the books. Each flow needs one source that creates the income record; a second feed should reconcile or enrich it.
Refunds and transfers need separate rules
A later partial refund of 500 in this hypothetical example must preserve the original payment history. Deleting the sale or silently reducing its old value can break a previously closed day. Agree the correction model before implementation. Freezing or cancelling a membership does not, by itself, establish that money has been returned to the member.
Moving cash from reception into the bank does not create another sale. Instalments enter a cash movement view when each payment is received. Gift certificates need rules for both payment and redemption. These decisions belong to the person responsible for the accounts. Transferring records does not determine tax treatment, fiscal requirements or when membership income is recognised across a service period.
How often should the connection run?
Choose timing around the decision the owner needs to make. A shift-close transfer may be enough for daily reconciliation. A view throughout the day requires a supported way to retrieve new and changed operations regularly. Event-driven delivery depends on relevant notifications from the source. A Finmap webhook cannot create a financial event that LuckyFit does not expose.
Show the last successful reconciliation and the period known to be complete. A label saying “updated today” is unhelpful if morning refunds were skipped. Agree the reporting time zone and shift boundary too. A payment after midnight should not move into a different reporting day merely because a server uses a different clock.
If the account’s API does not expose the required records, investigate a bounded alternative. Ask LuckyFit whether a suitable payment and refund export exists, request a sample and check its fields. Ask about a vendor-supported connection or extension. If a usable export is available, a custom module could convert it into the agreed Finmap import format.
Availability of that LuckyFit export still needs confirmation. A file downloaded and uploaded by an employee removes repeated typing but retains a manual step. An unattended workflow requires a supported automatic way to obtain the source. If a file layout changes, uncertain rows should stop with an explanation. Guessing a category or treating an unreadable file as an empty day is unacceptable.
What should the owner continue reconciling?
Compare both record counts and amounts for payments, refunds and fees by day, location and account. A network total can match when two branches have been swapped. Compare cash with the physical till, and non-cash payments with the relevant settlement evidence. Keep unsettled money visible so it can be distinguished from a missing transaction.
- Completeness: every event in the agreed period is present, including later corrections.
- Duplicates: each source event has one agreed financial result.
- Allocation: account, category and location match the written rules.
- Exceptions: rejected records have a reason and a person responsible for resolving them.
Ask a concrete question during acceptance: “Why is this payment missing from Finmap?” Its reference should lead to the source event, delivery outcome and explanation. “Sent successfully” is insufficient without checking the destination record. Assign a person to review reconciliation, including weekend coverage. A warning without an owner can leave the financial picture incomplete for days.
What happens when a service stops responding?
Access can expire, a provider can stop responding or a technically successful response can contain a business error. The connection should retain outstanding events, warn the responsible person and show the incomplete period. The day must stay unconfirmed until reconciliation succeeds. After access is restored, staff need a way to resume processing without re-entering everything by hand.
A particularly difficult case occurs when the destination saves a record but the acknowledgement is lost. Before trying again, establish whether the payment already exists. Use a stable identifier: a permanent reference that stays the same across attempts. At acceptance, repeating the same batch must leave the totals and record count unchanged, including refund entries.
Limit access to the information needed for the transfer. Revenue reporting usually does not require visitor questionnaires or workout histories. Connection credentials should use an agreed secure handover method, separate from ordinary messages containing sample reports. Record how to replace a key and restart processing. New locations, categories and payment methods should trigger a mapping review before they enter the normal reporting flow.
Can clubs abroad use QuickBooks Online?
QuickBooks Online has an Accounting API with SalesReceipt and RefundReceipt records. Intuit also documents webhooks and authorisation through OAuth 2.0, where the business grants an application access. These provide a potential destination for a club’s financial records. They do not establish a ready-made LuckyFit connector or make every account configuration suitable for the same transfer.
Agree the destination documents with the local bookkeeper before writing anything. A paid sale, an invoice paid later and a refund can require different treatment. Confirm the company, currency, relevant accounts and tax settings for that business. Avoid creating both a paid sale and an unrelated payment for the same receipt. Bank feeds need the same duplicate-income check described above.
The club-side questions remain unchanged: where actual money movements come from, how refunds are found and whether changed records can be retrieved. Changing the finance destination cannot fix missing source data. A QuickBooks Online trial of the connection should use an agreed test environment and the same reconciliation cases before touching the live books.
How do you test a past month before going live?
Choose a closed month containing ordinary payments and the exceptions your club actually encounters. Agree the source totals before loading it. Use a separate approved test environment without duplicating operations in the live books. If an isolated destination is unavailable, first produce an expected-results file for review without creating financial records.
- Compare full and partial payments across cash, terminal and online channels.
- Check a refund on a later date, an unknown category and a missing location.
- Run the same batch again and verify unchanged counts and totals.
- Interrupt service availability, resume the transfer and reconcile every outstanding event.
- Inspect the destination journal and reports alongside the original records.
Agree the last manually entered event and the first automatic one. Parallel checking is useful; creating both sets of financial records causes duplicates. Write down who can pause the connection, where new events wait and how processing resumes after a correction. A successful first import does not prove recovery after an outage.
What can Artbrain build, and where do we start?
Our Artbrain integrations page describes connections to systems we build ourselves. That defines the current service scope. For club revenue, we can consider a custom exchange module if the vendors supply sufficient data and permit the connection. We are not presenting a ready-made setup service for any pair of third-party applications.
We start with a free review. Together we inspect both accounts, agree the field mapping, reconcile a past month and define the switch-on conditions. Custom development has no fixed price; we provide an individual written estimate after discussing scope and architecture. Provider subscriptions are paid directly by the client without our markup. No delivery date should depend on an unconfirmed source capability.
Agree maintenance responsibilities before launch. Our support and improvements service explains the format; checks for the specific module need their own agreed scope. The broader rollout issues are covered in our guide to five business automation mistakes. For this connection, acceptance means reconciled money movements and explained exceptions.
For an initial enquiry, send the application names, payment methods, location structure and an anonymised report sample. Passwords are unnecessary in the first message. Describe what you copy today and when you need a complete view. That gives us enough context to investigate whether the vendors’ existing options suffice or a separate module is worth scoping.
FAQ
Is there a ready-made LuckyFit to Finmap integration?
We could not confirm this pair in the official catalogue checked. Both services publish an API, but access to the required LuckyFit payments and refunds needs verification. Check the providers’ existing options before scoping a separate module.
What club revenue data should be synced?
Confirmed payments and refunds need stable references, amounts, currencies, dates, payment methods, accounts, categories and locations. Obtain fees from an agreed source. These are requirements for the connection, not a verified list of available source fields.
Can club revenue sync in real time?
That depends on how the club application exposes its records. API availability does not guarantee the necessary event notifications. Scheduled or shift-close transfers may be appropriate. An employee downloading and uploading a file still leaves a manual step.
Can club software connect to QuickBooks Online?
QuickBooks Online provides an Accounting API. Verify the club-side records and agree documents, accounts, currency and refund treatment with the bookkeeper. This does not establish a ready-made connector. Test the transfer and reconcile its results before using live books.
How much does a custom club revenue connection cost?
There is no fixed price. Artbrain can consider a separate custom module after a free review and checks of both systems. We provide a written estimate for the agreed scope. The client pays provider charges directly without our markup.
