STO Vektor: work order system for an auto service

A single workspace for work orders, vehicles, jobs, parts and auto service reports. The system launched in March 2026 and is used every day to serve corporate fleets and private customers.

Challenge

Before launch, work order data was split between paper forms, notebooks and spreadsheets. Vehicle history, jobs, parts and assignees had to be checked in different places.

The auto service needed one tool for the service advisor, mechanics and manager: create a work order, record work and parts, track status and prepare daily and weekly reports.

What we built

The core modules cover the full path from vehicle intake to completed reports.

Vehicle cards

VIN, registration number, mileage, category and the complete work order history for every vehicle.

Work orders

Jobs include a code, standard time, price, discount and assignee. Parts include a designation, price, quantity and issue details.

Assignee directory

A single directory connects employees to jobs and records who issued and received each part.

Statuses and mileage

New, in progress and completed statuses show the current stage. Vehicle mileage is recorded in the work order.

Daily reports

One button imports every work order for the selected date into the daily report.

Weekly reports

Weekly reports are assembled automatically from the daily reports already entered into the system.

Print and export

Printable work orders and reports, work order export to Excel and report export to Word.

Mobile workspace

Responsive screens with bottom navigation, a PWA manifest and a dark theme for daily work from a phone.

Stack and security

Backend

PHP 8 without a framework, MariaDB through PDO.

Frontend

Bootstrap 5, vanilla JavaScript, responsive mobile interface, bottom navigation, PWA manifest and dark theme.

Infrastructure

Nginx and PHP-FPM on a VPS, deployment on a subdomain with a separate database.

Security

CSRF tokens, login attempt limits, bcrypt passwords and admin, mechanic and viewer roles.
